Operations & Production Coordinator

Position Summary

The Operations & Production Coordinator supports the logistical and production needs for Emerald City Music (ECM) artistic programs. Reporting to the Executive Director, this position provides clear, professional communication which enables high-quality programs for artists and audiences. Success in the role depends on an attention to detail, ability to build strong relationships internally and externally, and strong communication skills.

Principal Job Duties:

  1. Contract Facilitation and Fulfillment
  • Work with the Executive Director and Artistic Director to prepare contracts based on negotiated terms with artists and agents for ECM programs.
  • Track signed contracts and follow up as needed to ensure all documents are finalized in advance of the announcement of a concert or event.
  • Locate and acquire all instruments, equipment, and materials required of ECM to fulfill the terms of artist contracts.
  1. Scheduling and Logistics

In close coordination with the Executive and Artistic Directors, create a system which delivers all aspects of ECM artistic planning, including:

  • Communication with artists, agents, vendors, concert venues, and ECM staff to coordinate travel and rehearsal schedules for each ECM event.
  • Creation and dissemination of rehearsal and production schedules for each season program.
  • Developing a travel and transportation plan which uses ECM staff and volunteers to bring guest performers to all required rehearsals, concerts, and events. 
  1. Production Oversight
  • Serve as the main point of contact for the venue coordinator, vendors (including Steinway, lighting/video engineers and others) and guest artists while at concert venues. Set up a production call with venue coordinators, discussing concert logistics, scheduling, and any adjustments.
  • Attend on-site dress rehearsals, reviewing and updating the stage layout with any changes.
  • Support loading and unloading concert and stage equipment on concert days.
  • Ensure proper signage is displayed in patron areas (for bathrooms, bar, and other locations).
  • Oversee and facilitate the preparation, setup, and tear-down of chairs, stands, and other staging needs at ECM performances.
  • Work closely with technical staff at venues to communicate stage requirements and engage their support when necessary. 
  1. Event and Volunteer Support
  • Identify volunteer needs for production and stage setup, supporting the Executive Director and Administrative Director in recruiting and retaining ECM volunteers.
  • Train volunteers to perform technical support duties, offering feedback and connecting people to tasks that fit their background and interests when possible.
  1. Staff Communications
  • Lead and facilitate all required production meetings to understand and share input on event logistics, planning, and delivery. Document successes and areas for improvement after each concert cycle is complete.
  • Attend and participate in all required staff meetings and maintain regular communication through provided channels.
  1. Other duties as assigned

Skills & Experience

  • Education – Bachelor’s degree required.
  • Background –  Music or other performing arts, with a knowledge of production elements for live classical music performance desired. 
  • Interpersonal Skills – Ability to work with a variety of staff, volunteers, and artists, building strong relationships with many paid and volunteer members of ECM.
  • Attention to Detail – Skilled at critically reviewing contracts and production riders, ensuring deadlines are met and technical equipment is acquired and properly utilized. Adept at providing support and guidance for technical problem-solving with equipment and electronics. 
  • Positive, professional demeanor – A sense of diplomacy and maturity in internal and external communications.
  • Office and Technology – Adept at using Microsoft and Google office programs, online documents and spreadsheets for collaboration, and related technology.

Supervisory & Reporting Relationships

  • Reports directly to the Executive Director
  • Works closely with the Artistic Director, Administrative Director, and venue staff
  • Supervises and supports the work of production and backstage volunteers

Hours and Working Conditions:

This is a part-time, hourly position averaging 16-20 hours per week throughout the year. Compensation is at a rate of $27-32/hour depending on experience. A portion of the duties may be performed remotely. Routine evening and weekend commitments are required. The ability to lift 40 lbs is required of this position. A valid Washington State Driver’s License and ability to drive to meetings and events is required.
